Refund and Cancellation Policy

This Refund and Cancellation Policy ("Policy") is part of the QuikForms, LLC Terms of Service and governs all subscription cancellations, refund requests, and related billing matters for the QuikForms managed package for Salesforce ("Service"). By subscribing to QuikForms, you ("Customer," "you," or "your") acknowledge that you have read, understood, and agree to be bound by this Policy.

1. Subscription Plans and Billing

1.1 Available Plans

QuikForms offers the following subscription tiers:

  • Standard Plan: $449 per month ($395/month billed annually)
  • Professional Plan: $799 per month ($699/month billed annually)

Each plan is billed on a monthly or annual cycle. Specific features included in each plan are described on the QuikForms website at www.sfquikforms.com and may be updated from time to time.

1.2 Billing Cycle

Subscription fees are billed in advance on a monthly basis. Your billing cycle begins on the date your paid subscription starts (i.e., the day following the expiration of your free trial or the date you first subscribe) and recurs on the same calendar day of each subsequent month ("Billing Date"). If your Billing Date falls on a day that does not exist in a given month, billing will occur on the last day of that month.

1.3 Payment Method

You must provide a valid payment method to subscribe to a paid plan. By providing a payment method, you authorize QuikForms, LLC to charge the applicable subscription fee on each Billing Date. It is your responsibility to ensure that your payment information remains current and valid.

1.4 Failed Payments

If a scheduled payment fails, QuikForms will attempt to process the charge up to three (3) additional times over a period of ten (10) days. If all payment attempts fail, your subscription may be suspended or terminated. You remain liable for any unpaid fees during the period your account was active.

2. Free Trial

2.1 Trial Period

QuikForms offers a fourteen (14) day free trial for both the Standard and Professional plans. The free trial provides full access to all features available under the Professional plan. No credit card or payment information is required to start a free trial.

2.2 Trial Expiration

At the end of the fourteen (14) day free trial period:

  • If you have selected a paid plan and provided valid payment information, your subscription will automatically convert to the selected paid plan, and the first monthly fee will be charged.
  • If you have not selected a paid plan or provided payment information, your access to the Service will be suspended. No charges will be incurred.

2.3 Trial Limitations

  • Free trials are limited to one (1) per Salesforce organization.
  • QuikForms reserves the right to modify, suspend, or discontinue the free trial offer at any time.
  • Abuse of the free trial program may result in immediate termination of your account.

3. Cancellation

3.1 Right to Cancel

You may cancel your QuikForms subscription at any time. There are no long-term contracts, and no cancellation fees apply.

3.2 How to Cancel

To cancel your subscription:

  • Self-Service Cancellation: Log in to your QuikForms account settings within your Salesforce organization and follow the cancellation workflow; or
  • Email Cancellation: Send a written cancellation request to [email protected] from the email address associated with your QuikForms account. The request must include your organization name, Salesforce Org ID, and the name of the authorized account holder.

Cancellation requests are processed within two (2) business days of receipt. QuikForms will send a confirmation email once the cancellation has been processed.

3.3 Effective Date of Cancellation

Cancellation takes effect at the end of your current paid billing cycle:

  • You will retain full access to the Service through the remainder of the billing period for which you have already paid.
  • No additional charges will be incurred after the cancellation effective date.
  • You will not receive a prorated refund for any unused portion of the current billing period, except as described in Section 4.

3.4 Cancellation During Free Trial

If you cancel during the free trial period, your cancellation will take effect immediately. No charges will be applied.

4. Refunds

4.1 General Refund Policy

Because QuikForms subscriptions are billed monthly and you may cancel at any time, QuikForms generally does not provide refunds for partially used billing periods. However, certain circumstances may warrant a refund as described below.

4.2 Refund Eligibility

You may be eligible for a refund under the following circumstances:

  • Duplicate or Erroneous Charges: If your payment method was charged more than once for the same billing period, or if you were charged an incorrect amount, you are entitled to a full refund of the duplicate or excess charge.
  • Service Unavailability: If the QuikForms Service experiences a material outage or is substantially unavailable for a continuous period of forty-eight (48) hours or more during a billing cycle due to causes within QuikForms' reasonable control, you may request a prorated credit or refund for the affected period.
  • Billing After Cancellation: If you are charged after your cancellation has been confirmed and the cancellation effective date has passed, you are entitled to a full refund of the post-cancellation charge.
  • First-Month Dissatisfaction: If you cancel within fourteen (14) calendar days of your first paid billing cycle (immediately following your free trial), you may request a full refund of that first month's subscription fee. This is limited to one (1) refund per Customer.

4.3 Requesting a Refund

To request a refund, contact QuikForms at [email protected] with the following information:

  • Your organization name and Salesforce Org ID
  • The date and amount of the charge in question
  • The reason for your refund request
  • Any supporting documentation

QuikForms will acknowledge receipt within three (3) business days. Approved refunds will be processed within ten (10) business days and issued to the original payment method. Please allow an additional five (5) to ten (10) business days for the refund to appear on your statement.

4.4 Exclusions from Refund Eligibility

Refunds will not be issued for:

  • Salesforce Platform Issues: Downtime, outages, or performance issues caused by the Salesforce platform or third-party providers are outside QuikForms' control.
  • Customer-Caused Issues: Disruptions resulting from your configuration, customizations, or use inconsistent with the documentation.
  • Failure to Cancel: If you intended to cancel but failed to complete the cancellation process before your Billing Date.
  • Change of Mind After First Month: Refund requests based solely on a change of mind after the first paid billing cycle.
  • Policy or Feature Changes: Refunds will not be issued solely because QuikForms modifies features, provided core functionality is not materially reduced.

4.5 Chargebacks and Payment Disputes

You must first contact QuikForms at [email protected] to attempt resolution before initiating a chargeback. QuikForms reserves the right to suspend or terminate your account upon receiving notice of a chargeback, and to recover fees and costs incurred as a result, up to a maximum of $50 per incident.

5. Effect of Cancellation on Service and Data

5.1 Service Access After Cancellation

Upon the effective date of cancellation:

  • The QuikForms managed package will remain installed but active functionality will be restricted or deactivated, including public form rendering and new form submissions.
  • Administrative access to QuikForms configuration screens may be limited or disabled.
  • You will no longer receive product updates, patches, or new feature releases.

5.2 Customer Data After Cancellation

Because QuikForms operates as a Salesforce managed package, your data remains within your own Salesforce organization:

  • Form Submission Data: All submission data remains in your Salesforce org and is fully owned and controlled by you.
  • Form Configurations: All configuration records and metadata remain in your organization.
  • Analytics Data: Analytics data remains in your organization until you delete it.
  • No Data Export Required: All data resides in your Salesforce organization, so no separate data export process is needed.

5.3 Public-Facing Forms

Upon cancellation, all public-facing forms will cease to render and will no longer accept submissions. It is your responsibility to remove or redirect any links to QuikForms-powered forms prior to cancellation.

5.4 Uninstalling the Managed Package

Cancellation does not automatically uninstall the managed package. To fully remove it, follow Salesforce's standard uninstallation procedures. Uninstalling may result in the deletion of associated custom fields, objects, and data.

5.5 Reactivation

To reactivate your subscription after cancellation, contact [email protected] or visit the Salesforce AppExchange. Reactivation is subject to then-current pricing and terms.

6. Subscription Tier Changes

6.1 Upgrades

You may upgrade from Standard to Professional at any time. Upgrades take effect immediately:

  • You will have immediate access to all Professional plan features.
  • On your next Billing Date, you will be charged the Professional plan rate ($799/month, or $699/month if billed annually), with a prorated difference applied for the current billing cycle.

6.2 Downgrades

You may downgrade from Professional to Standard at any time:

  • The downgrade takes effect at the beginning of your next billing cycle.
  • No prorated refund or credit will be issued for the current billing period.
  • On your next Billing Date, you will be charged the Standard plan rate ($449/month, or $395/month if billed annually).
  • Professional-exclusive features may become inaccessible after the downgrade. Review and adjust your configurations prior to the downgrade effective date.

6.3 How to Change Tiers

To upgrade or downgrade:

  • Use the self-service tier management tools in QuikForms admin settings; or
  • Contact [email protected] with your request.

7. Billing Disputes

If you believe there is a billing error, notify QuikForms in writing at [email protected] within sixty (60) calendar days of the charge date, including a description of the disputed charge, the date and amount, the reason for the dispute, and supporting documentation.

QuikForms will investigate and respond within ten (10) business days. Your subscription will remain active during the investigation, and you are responsible for all undisputed charges. Charges not disputed within sixty (60) calendar days will be deemed accepted and final.

8. Modifications to This Policy

QuikForms reserves the right to modify this Policy at any time. Material changes will be communicated by posting the updated Policy with a revised "Last Updated" date and by email notification at least thirty (30) calendar days prior to the changes taking effect. Your continued use of the Service after the effective date constitutes acceptance. If you do not agree, you may cancel in accordance with Section 3.

10. Governing Law

This Policy shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to its conflict of law provisions. Any disputes arising under this Policy shall be resolved in accordance with the dispute resolution provisions in the Terms of Service.
